Contractor and supplier document deadlines

Keep track of documents throughout the relationship

Collecting documents from an external company often starts before work begins. But the relationship can carry on while an insurance policy or a certificate reaches the renewal date you recorded.

With JustFlag.it you can set up a deadline tracker for the documents of suppliers, contractors and subcontractors. For each entry you keep the company’s details, the document received and the date to monitor, in line with the checks required for that relationship.

A practical example is requesting an updated document: you set an advance reminder, the owner contacts the supplier and, once the file arrives, updates the entry. The software helps you keep the collection on track, while checking that documents are authentic and adequate remains the job of whoever is responsible for it.

How to set up the deadline tracker

  1. 1. Identify the company and the relationship

Organise the supplier’s details and the references for contracts or jobs, with names that make them easy to find.

  2. 2. Record the documents to follow

Attach the files you receive and enter the dates to monitor, based on the document and the checks carried out.

  3. 3. Prepare update requests

Assign the owner and set up the reminder. When a new document arrives, update the relevant details.

How JustFlag.it helps you

Owner working on a tablet in an office

See who looks after each supplier and its document requests.

Two professionals shaking hands in front of a building

Get a reminder before the dates you recorded so you can request updates.

Hard hat, floor plans and documents on a table

Keep the documents you receive in a searchable archive.

Professionals holding documents during an on-site inspection outdoors

Organise DURC, insurance policies and certificates with the company’s details.

Getting from a request to the document in hand is clearer when company, owner and date sit in the same deadline tracker. Professional checks can then start from a tidier collection.

Frequently asked questions

Can I track when a DURC expires?

You can attach the document you received, record the validity date shown on it and set a reminder to request an updated one. JustFlag.it does not issue the DURC and does not automatically check contribution compliance.

What other documents can I add?

You can organise insurance policies, certificates, certifications and other documents relevant to the relationship. Which documents are needed depends on the case and should be decided by whoever is responsible for the checks.

Can I tell apart several jobs for the same supplier?

You can add company and job references to your collection data. Agree on a shared rule to separate the supplier’s general documents from those required for a specific job.

Does the software confirm that a supplier is suitable?

No. It organises the data, attachments and deadlines your company enters. Assessing requirements and documents remains the job of the responsible people; a reminder or an archived file is not a suitability check.
